At Club Natación Axarquía we process the personal data of members, swimmers, families, and people who contact us with the utmost care and in accordance with Regulation (EU) 2016/679 (RGPD) and Organic Law 3/2018 on Personal Data Protection and guarantee of digital rights (LOPDGDD).
In this policy we explain who processes your data, for what purposes, on what legal basis, how long we keep it, and what rights you have. It is written to be understood.
1. Data controller
The data controller is Club Natación Axarquía, with address at C/ Alcalde Manuel Reyna, 1 A, 29700 Vélez-Málaga (Málaga), phone 952 558 731, and email info@elcna.es.
The organization’s CIF and registry number will be added to this document once verified.
2. What data we process
Depending on your relationship with the club, we may process the following categories of data:
- Identifying and contact data: first and last name, DNI/NIE, address, phone, and email.
- Data of underage swimmers, together with that of their parents or legal guardians.
- Sporting data: group, level, federation license, times, and meet results.
- Health data strictly necessary for the safe practice of the activity (allergies, relevant conditions, sports medical fitness when required by the federation).
- Billing and fee-payment data.
- Images and videos of club activity, only when authorization exists.
3. Why we use your data and on what legal basis
We process data for the following purposes:
- Manage enrollment, membership status, and participation in club groups (performance of the membership relationship and the services contract).
- Process federation licenses and participate in official meets (performance of contract and compliance with federation obligations).
- Handle inquiries received by form, phone, email, or WhatsApp (consent and legitimate interest in responding to the data subject).
- Manage collections, accounting, and tax obligations (compliance with legal obligations).
- Safeguard swimmers and comply with child- and adolescent-protection rules (compliance with a legal obligation and vital interest).
- Publish images and results on the club website and social media (express consent, withdrawable at any time).
4. Minors
Enrollment of minors requires authorization from a parent or legal guardian, who provides the data and signs the corresponding authorizations.
Authorization to publish images of minors is voluntary, is requested separately, and may be declined or withdrawn at any time without affecting the minor’s enrollment or sporting participation.
5. Recipients and disclosures
We may disclose data to the Federación Andaluza de Natación and, where applicable, to the Real Federación Española de Natación, when necessary to process licenses and participate in official meets.
Service providers necessary for the club to operate (accounting firm, insurance, web hosting, communication platforms) may also access data as processors, always under a processing agreement and with sufficient guarantees.
We do not sell or disclose personal data to third parties for commercial purposes.
6. Retention periods
We retain data while the relationship with the club continues and, afterward, for the periods required by applicable rules, in particular tax and accounting rules.
Data from inquiries that do not lead to enrollment are kept for the time needed to handle them and, at most, for a reasonable period afterward in case the person gets back in touch.
7. Your rights
You may exercise the rights of access, rectification, erasure, restriction of processing, objection, and portability, as well as withdraw consents given, by writing to info@elcna.es or going to either club office (Monday to Friday, 16:30–18:30) with proof of identity.
If you believe we have not properly addressed your rights, you may file a complaint with the Agencia Española de Protección de Datos (www.aepd.es).
8. Security
We apply technical and organizational measures that are reasonable and proportionate to the size of the club to protect data against loss, unauthorized access, or misuse, and we limit access to the people who need it for their role.
